IT & Asset Allocation Checklist

1. Compliance and Policy

  1. Verify that the IT asset policy is current and accessible to managers
  2. Confirm the approval matrix and responsible roles for allocations
  3. Document software licensing and permitted software lists
  4. Ensure device encryption and data protection requirements are defined
  5. Communicate acceptable use and privacy expectations to assignees

2. Planning and Preparation

  1. Identify required IT assets by role, level, and remote status
  2. Reserve inventory for confirmed hires, transfers, and contingencies
  3. Prepare allocation requests with role justification and cost center
  4. Estimate procurement lead times and flag backordered items
  5. Confirm warranty, support, and vendor contact details before purchase

3. Execution and Process

  1. Submit and approve the asset request through the defined workflow
  2. Assign and physically tag devices with unique asset IDs
  3. Install required software, apply patches, and enforce security settings
  4. Record serial numbers, MAC addresses, and license keys in the register
  5. Obtain a signed receipt or digital acknowledgement from the employee

4. Asset Handover and Tracking

  1. Provide a brief orientation on device care, security, and support
  2. Capture allocation date, employee details, and manager name
  3. Enroll devices in monitoring or mobile device management where required
  4. Log temporary checkouts and track return due dates
  5. Schedule periodic inventory audits and spot checks

5. Documentation and Records

  1. Store signed agreements and receipts in a central record store
  2. Maintain an up-to-date asset register with status and location
  3. Record warranty, maintenance schedules, and support contacts
  4. Track software license expirations and renewal responsibilities
  5. Archive decommissioned asset records with disposal justification

6. Review and Follow Up

  1. Conduct quarterly reconciliation between physical assets and the register
  2. Investigate and resolve discrepancies within five business days
  3. Review allocations after role changes, transfers, and promotions
  4. Collect and process returned assets at exit and update status immediately
  5. Report incidents and implement corrective actions to prevent recurrence
